How do I apply for a Credit Card?

To apply for a Credit Card please contact the Credit Card Controller on extension 53015.  (Note: Only employees with a  Financial Delegation can apply for a Credit Card.)

How do I dispute a transaction?

When you find a transaction on your Statement that you wish to dispute you should mark it as "In Dispute" in your statement reconciliation (please see online training topic "Dispute a Transaction" under the Reconcile Statements menu for more details).  You must still approve this item in your statement even though you are disputing it.
When the Credit Card Controller resolves the dispute, or the dispute is resolved in a future statement, you should confirm that the dispute was resolved as outlined in the online training topic "Dispute Confirmed" under the Reconcile Statements menu for more details.

How do I apply to get my limit increased?

Please refer to the Policy Section for the procedures and forms necessary to increase the limit on your Credit Card.

How do I reconcile my Statement?

Your statement should be reconciled in NS Financials by assigning the required information for each transaction.  This involves selecting a Business Purpose and Expense Type for each transaction as well as assigning a Chartfield Combination (Fund, Department and Project ID).  You can view step by step instructions using the online training tool or refer to the Credit Card Reconciliation cheat sheet.

When must I reconcile my Statement?

You can reconcile your statement whenever you wish but it should be reconciled at the end of every month (you will receive an email reminder to do so).

How do I print a Statement?

We don't receive printed statements for our credit cards, our transactions are sent to us electronically and uploaded into NS Financials forming a statement period (monthly) which card holders (or their nominated proxy's) should reconcile.  Once all files have been uploaded by the Credit Card Controller the cards reconcilers are advised by e-mail that their statements are ready for printing. (Don't print your statements until you've received e-mail confirmation to do so, this could result in your statement not containing all transactions).  Once you have reconciled the transactions for the statement period (this is determined by the bank) and aproved them, you should print your statement, attach the receipts and send it to Accounts Payable.

What to do if I accidently used my Credit Card for personal expenditure?

If you accidently use your Credit Card for personal expenditure please approve the transaction in the normal way and assign it to the personal expenditure business purpose and expense type, and attach a cheque for the amount.  If you have any questions please contact the Helpdesk.
