Welcome to UNSW!  When a new employee starts at the University of NSW, there are various tasks that need to be done and forms to complete. This page attempts to cover the basics you need to know to get started, as well as some handy hints.
 
It is intended to be used both by Managers and Support Staff so they know the steps to be followed to start a new employee, as well as to provide guidance to new employees.

Introduction to Finance
 

The Finance team supports administrative staff, managers and researchers in monitoring, controlling and managing the University's financial resources efficiently. Responsible for Budget and Management Reporting, Financial ControlFinancial Operations, Training, Research Finance Services, Procurement, Investments, Faculty Finance Services, and Engagement of Contractors.
 
As an employee of the Finance Division please ensure that you become familiar with our goals.

UNIPASS and UNIMAIL
 

Complete the OSA1 (for staff) or OSA2 (for contractors and visiting academics) form to apply for access to the Universal Password System (Unipass) and an UNSW email account. (Click here to view all IT forms.)
 
Visit the IT Service Desk Counter in the Library during opening hours to submit your forms.

Staff ID Card
 

Staff ID cards are required to be worn by staff members and show as photo id.  They also control swipe card access, such as out of hours access.  
 
Complete the staff ID card form and take it to FM Assist located in Level 2 Mathews Building F23 (entry via Mathews Pavillions).  They are open from 8.00 AM until 4.30 PM Monday - Friday.

Parking
 

There are 2 high rise parking stations and various other areas where you can park, including meter parking. The high rise parking stations are accessed by gate 11 for upper campus and gate 14 for lower campus. To park in the parking stations you are required to have a parking permit. These permits do not apply to meter parking. The parking police on campus are extremely vigilant and it is advisable to have either a valid permit or sufficient funds in the meter. 
 
Motor cycles do not require a parking permit, but must park in designated parking areas, or risk a parking ticket.  For those into alternative forms of transport, there are a number of motor cycle and bicycle racks located around the University.

The most cost effective way of parking is based on an annual rate of $255, or $9.80/fortnight. Please note the minimum period with this option is 9 weeks and you are required to show your car's registration papers. There are also weekly options at $11 and daily rates of $6.60. (These prices are subject to change without notice, but is current as of 1st March 2008)

Getting Started with NS Financials
 

To apply for access to NS Financials you should complete the UNSW Application for Access form, which is to be signed by your manager, and submit it to the IT Service Desk for processing.  This form can also be used to apply to have your access updated.  The expected turnaround time is 5 working days, if the form has been filled in correctly.  They will provide a NS Financials specific User ID and a Password (please note this is different from your UniMail access.)

MyUNSW
 

MyUNSW is the university's portal.  Log in using your Unipass.  Here you can find information on learning and development, UNSW code of Conduct, Key UNSW dates, Pay & Holiday calendar and other FAQs.

Staff Directory
 

On the UNSW Intranet is a staff directory.  The directory can be searched by staff member's surname or by organisation (department, faculty etc). It shows details such as:
 
-  Name
Phone number
Fax number
E-mail address
Location
Department
 
It is recommended that your details are added by sending the above information via an e-mail to the Service Desk.  They can also process updates for you, or you can update yourself by going into "Modify this entry" and entering your Unipass number.

The Finance Division webpage is the primary source of financial information at USNW.  The Our Services section supplies information on the services provided by the Finance Division.  The Information Centre lists contacts in finance, FAQs as well as forms, website listings and much more.

Payroll Forms
 

This section applies only if you are on the payroll of UNSW.
 
Please visit the HR Online Orientation page.  Ensure you becomes familiar with UNSW's policies & procedures and note the forms new employees are required to complete (tax declaration, OH&S checklist, etc).

Computer and Phone
 

All Finance Staff PC desktop setup, phone setup and network support is handled by Mark Cullinan. You need to submit the relevant forms first. He can be contacted on 52757 or via e-mail
 
Important Note: If you are reading this guide and you are not from the Director of Finance's office, Mark Cullinan is not your contact. You will have your own Faculty or Divisional network support person who looks after your PCs/Macs and you need to contact the person in the equivalent role in your own area.

Voicemail
 

You need to set this up yourself, once your phone number has been connected. Be careful to not only set up a greeting, but to also change your name.  This document explains how to use Voice Mail. Where it refers to a 4 digit number, you need to use a 5 as a prefix. Eg 8888 becomes 58888 - this is the main number to access Voice Mail. Remember to clear your voice mails regularly, otherwise it will fill up and people won't be able to leave you messages - you can have a maximum of 15 messages. 
 
In order to retrieve voice mails from your own phone, the typical steps are:
 
-  Ring 58888
-  ##
-  Security code
-  If any messages, 5 to listen
-  8 for time and date stamp (optional)
-  22 to replay messages (optional)
-  99
-  Hang up

Email
 

The University uses Microsoft Exchange mail system.  Your e-mail account is set up based on your Unipass id.
 
Please visit IT's UniMail page for information on applying for, and setting up, your e-mail.
 
All staff are required to have a signature on their e-mail identifying who you are, where you are located, and how to contact you.

Security
 

Help Points are located around the University. In an emergency, ring 56666 or 9385 6666 or 1800 626 003. In non emergency situations, ring 56000. There is also the University Walk from Gate 9 at top campus down to Anzac Parade Gate at bottom campus. This is well lit and patrolled.  Security are located at the e-spot. The e-spot is located in the Red Centre Building (H13) opposite JG's Café.  Please visit the Security home page to find out more about their services.
 
For your safety there is a free security shuttle bus service which operates between 7pm and 11pm. There are 7 shuttle-bus stops on campus and 5 off campus. Click here to view the timetable and route.
 
There are also unibeat escort services between 6pm and 6am, 7 days a week, all year round.  Unibeat staff can escort you from your office or building to car parks, bus stops, taxi ranks or a limited local area around the UNSW Kensington Campus.

Training
 

Your Manager is responsible for your individual training programme. This will include training on your area's operational procedures in line with the Accounting Services Policies and Guidelines for all Financial dealings, both internal and external. 
 
There are several training opportunities available:
 
UNSW's Induction Program
Human Resources' Learning & Development Program 
IT provides Office 2007 and Outlook 2007 Training
Facilities provide and OHS Induction training
Finance provide NS Financials training
 
Training for NS Financials can be provided in 2 ways:

Formal training courses are provided by the Finance Trainer. You should attend the NS Financials Fundamentals and the relevant modules for your area eg Purchasing or Credit Card Reconciliation. 
 
Online Training - the other method of training is using the on-line training tool (UPK). UPK is the primary source of information relating to how to enter transactions into NS Financials.   Using the Online Training Tool, staff can self-train at their own pace, at their own convenience, from their own desks 24 hrs/day, 7 days/week. 

The minimum introductory training modules to complete are:

- UPK Fundamentals
- PeopleSoft Fundamentals
- General Ledger Fundamentals  Understanding Chartfields
- Reporting Fundamentals (optional)
