Overview

(i) The Chart of Accounts (CoA) is "how we capture, organize and report data" in the NS Financials General Ledger.  It is fundamental to, and forms the base of all statutory, contractual and management reporting requirements, and as such consistency in the use of the chart is essential to the quality of the information being reported.
 
(ii) Ultimate Control of the COA rests with the Director of Finance; however day to day decisions are delegated to the Financial Control and Management Reporting & Budget Teams, who also consult with other Divisions/Departments for example HR, GMO, DVC-R
 
(iii) The CoA is made up of components or segments called ChartFields: The current ChartField structure at UNSW consists of the following:

Request for new, or changes to existing ChartFields must be made in the NS Financials general ledger and are put forward by completing the appropriate ChartField modification form. These can be found on the Finance Website.
 
(iv) The way data is summarized in the general ledger is illustrated with the use of (ChartField) tree structures. Trees show the hierarchical relationship between the information reported in each ChartField. Each ChartField has its own tree(s) and hierarchy(s). Currently at UNSW there are trees for the Accounts, Departments and Funds ChartFields.
